Folder Manager

The Activate Folder Manager Module empowers business users to Request, Approve and automatically Create and Update access to Shared Folders in your file system without relying on manual IT intervention. Major features include:
  • Allow users to browse and request access to Shared Folders that have been scanned into Activate
  • Synchronise folder and security directly from your enterprise file system
  • Manage multiple business owners for each Shared Folder for Access

Shared Folders in an organisation are normally secured by security groups. Users are placed in these security groups to provide access to the Shared Folder. The Security Group may give the members of the group different access rights to the Shared Folder. For example, ‘read only’ or ‘write access’.
In most organisations, it quickly becomes difficult to determine which Shared Folders are secured by which groups. The information is hard to find and manage because it is distributed over the entire file structure and is embedded in the access control lists (ACLs) of the Folders.
Activate Folder Manager makes this information instantly available and users can request access to a Shared Folder without needing to identify the security group that secures it.


Browse Folders

Users can easily browse available Folders online and select the Folder that they require access to

View Available Options

Users can view the current security options available for each Folder. Selecting Read/Write access can be done without needing to know anything about Active Directory Groups or Security

Multiple Business Owners

Each folder can have multiple Business Owners. These Business Owners can approve and manage access to the data within the Shared Folder

Create Secured Shared Folders

Allow end users to create Secured Shared Folders - the appropriate Groups are created in Active Directory, the folder is secured and fully managed without IT intervention

Temporary Access

Grant users access to a Folder for a period of time. Improve access and data security by only granting contractors or internal users on secondment temporary access

Show who has access

Allow business users to quickly and easily see who has access to their data, including the type of access. They can then easily remove this access if required

Detailed Feature Summary

  • Scan Existing Folders and Security

    Activate's high performance scanning engine will scan the file shares on your network on a regular basis (configurable) and report on the folders and security found
  • Compatible with SMB/CIFS

    Activate uses the industry standard SMB/CIFS protocol to communicate with file servers. Therefore any file server that supports this protocol can used. The general rule of thumb is that if it can be accessed from a Windows machine then it is compatible with Activate. Activate has implementations on many diverse platforms, for example - Server Direct, SAN or NAS on HP, EMC, Netapp and Windows machines
  • Business Owners and Approvals

    Multiple Business Owners (users) can be assigned to Shared Folders. These users can approve access requests as well as manage the Owners of the Shared Folder
  • Bulk Management

    Selecting and adding multiple users is simple from the Activate Web Portal. Users also have the ability to import a CSV file of multiple users
  • Data Access Expiry

    Folder Access can be requested for a specific time and also set to expire. Expiring access allows for temporary access for contractors or internal users on secondment. Users are notified 7 days before the access expires and have the option to request an extension, access is removed on the expiry date
  • Create Secured Folder

    Managing the creation of Secured Folders can be complex if done manually. Activate removes the chance of mistakes by standardising how Folders are Created and Secured. Based on templates, Folders and their associated Active Directory groups are created and managed
  • Re-Secure Folder

    Replace all exiting security on a Folder and replace it with new security while ensuring that existing users maintain the appropriate access.
